About the Company

This is a tile and building materials distributor running a wholesale B2B operation across several regional markets. Contractors, project developers, fit-out companies, and independent tile retailers all buy through the same account-based ordering system, each on their own negotiated pricing. NetSuite runs the back end: financials, inventory, customer accounts, the lot. Magento is the storefront trade buyers log into to place orders. Both systems were functioning. The problem was that nobody had ever connected them.

The Challenges

Two systems. No link between them. A person in the middle doing the work both systems should have been doing automatically.

Every order that came through Magento had to be manually re-entered into NetSuite. Find the customer account, confirm the pricing tier, check warehouse stock, key in the order. Twenty minutes on a normal day. On a day with thirty orders in the queue, the morning's orders were not confirmed until mid-afternoon. Buyers would send a follow-up email. Then call. Reps spent more time on order status calls than on anything useful.

Pricing was its own problem. B2B accounts do not all pay the same rate. Some have volume discounts. Some have project-specific contracts. Some have both. All of it lived in NetSuite. What Magento showed was a manually maintained price list, updated when someone got around to it. A buyer would log in, see a price they trusted, place the order, and then receive an invoice at a different number. That conversation is not a quick one to resolve.

Stock was the same mess. NetSuite updated in real time as goods moved through the warehouse. Magento updated on a schedule. A buyer could order a product that had cleared out of stock three hours earlier. The order confirmation went out. The pick failed. The call came in at 8am the next day. That kind of error, repeated enough times, starts to damage accounts that took years to build.

Our Solution

Tiles IT Solutions built a bidirectional real-time integration, with RabbitMQ sitting between the two platforms as the message broker.

The logic is straightforward. A stock movement happens in NetSuite: a message hits the queue and Magento updates within seconds. An order goes through on Magento: the data moves to NetSuite immediately, the fulfilment workflow starts, no human required. The operations team stopped touching orders entirely. They now handle exceptions, not the routine.

Pricing was the hardest part to build correctly. NetSuite holds pricing matrices that vary by account, by order size, and by product category. Some customers have tiered rates across three volume bands. Getting those prices into Magento, per customer, at login, without slowing down the page, required a sync layer that fetches the right price tier for each buyer's session and injects it before the first product page loads. A contractor logs in and sees their actual rate. Not a list price. Not yesterday's rate. Their rate, pulled live from the same system their account manager works from.

Inventory runs on a short polling cycle with event-driven overrides. Something sells out, Magento knows within minutes. Backorder flags and restock estimates come through the same way and appear on the product page. A buyer does not have to ring to find out when something will be back. The page tells them.

The four weeks before go-live were the part nobody saw. The two systems had run independently for years. Customer records had diverged. "Patel Construction Ltd" in Magento was "Patel Constructions" in NetSuite. Product codes updated in one system had not carried over to the other. A full reconciliation pass mapped every account and every SKU across both platforms before a single live sync ran. It was unglamorous work. It was also the only thing that made the integration trustworthy on day one.

Redis caches each buyer's pricing data for the session so NetSuite is not queried on every page load. Docker keeps the integration middleware containerised and consistent across infrastructure updates.

Before and After Scenario

Before: Order comes in on Magento. Someone opens NetSuite, finds the account, checks the price, checks the stock, types in the order. Twenty minutes, minimum. Wrong price on Magento: buyer gets a different invoice. Out-of-date stock: order confirmed, pick fails, phone call next morning.

After: Order comes in on Magento. NetSuite gets it in seconds, automatically. The buyer saw their real contracted price when they logged in. The stock figure they ordered against was current. The confirmation is accurate. The ops team did not touch it.
